Connected Business Systems

Connect the systems your business already uses

The objective is not more software. It is a workflow that runs end to end without anyone re-typing, and one version of the truth when leadership asks a question.

What gets connected

Your estate, joined up

These are enabling capabilities. Which ones apply depends entirely on what the workflow needs.

CRM and ERP integration

Leads, contacts, pipeline, orders and invoicing kept current without manual entry, whichever platforms you run.

ERP and Odoo

Orders, inventory, invoicing and finance connected to the operational systems either side of them.

WhatsApp business automation

Business messaging as a first-class channel — enquiries in, structured records out, on the official platform.

APIs and databases

Direct connections to the platforms and data stores that hold what the workflow needs.

Spreadsheets and internal apps

The tools your team actually uses, brought into the flow instead of being worked around.

Dashboards and portals

Custom internal tools and client portals where nothing off the shelf fits the requirement.

What "connected" looks like

Two workflows, end to end

Each step below is a real hand-off between systems. The value is not in any single one — it is that the chain runs without a person holding it together.

Workflow A · Inbound enquiry to reportable pipeline
01
WhatsApp enquiry
A prospect messages your business number.
02
Qualification
Intent, service and budget captured against your criteria.
03
CRM lead created
Deduplicated, enriched and assigned to an owner.
04
Owner notified
The right person gets it with full context, on a clock.
05
Follow-up sequence
Runs until a human closes it or the prospect replies.
06
Reporting
Response times and conversion visible without assembly.
Workflow B · Customer request to resolved and recorded
01
Customer request
Arrives by email, portal, WhatsApp or phone.
02
AI classification
Type, urgency and account identified.
03
Data lookup
Order, contract or ticket history pulled from source systems.
04
Human escalation
Anything uncertain or high-value routed to a person with the history attached.
05
CRM update
Outcome written back so the record stays true.
06
Dashboard
Volumes, resolution times and escalation rate, live.

Dashed steps are human by design. Highlighted steps are where AI is applied — and only where it is doing work a rule could not.

The point of it

One source of truth, and reporting that reconciles

When three systems each hold part of the answer, every question becomes an investigation. Connecting them is only half the job — the other half is deciding which system is authoritative for which fact, and enforcing it.

  • Authoritative source per data domain — customers, orders, inventory, tickets
  • Deduplication and matching rules — so one customer is one record
  • Conflict resolution — defined in advance, not argued after the fact
  • Reconciliation checks — mismatches surfaced as exceptions
  • Centralised reporting — built on the agreed definitions
Built to keep running

Reliability is part of the scope

  • Retries and idempotency — a repeated message does not create a duplicate order
  • Monitoring and alerting — failures are visible to you, not silent
  • Rate and cost control — usage bounded so a loop cannot run up a bill
  • Credential hygiene — service accounts and scoped keys on your tenancy
  • Documented fallback — a manual path for every automated hand-off

Feasibility is assessed, not assumed

Integration feasibility depends on API availability, licensing, authentication, data quality, vendor restrictions, and the client's existing system configuration. Those constraints are established during discovery, before anything is committed.

Support and availability

Support and optimisation options are available according to the agreed engagement and service level. Continuous monitoring and out-of-hours response apply only where a documented support plan with an agreed service level is in place. Without one, monitoring alerts are delivered to your team to act on.

No technology tourism

Platforms are named here because you will ask. They are not the pitch. The design starts from the workflow and picks the smallest set of connections that make it hold.

Questions we get asked

Do we have to replace our CRM or ERP?

Almost never. The objective is to make what you already own work together. Replacing a core system is a far larger decision with its own business case, and it is not a prerequisite for fixing the flow between systems.

What if a system has no API?

There is usually another route — a database connection, a scheduled export, a file drop, a supported webhook, or a middleware layer. Where no reliable route exists, that constraint is surfaced during discovery rather than discovered mid-build.

Is WhatsApp automation compliant?

Business messaging is built on the official WhatsApp Business Platform with your own registered number and approved message templates, not on unofficial automation of a personal account. Consent and opt-out handling are part of the design.

Who owns the integrations?

Ownership of agreed deliverables transfers under the signed agreement. In practice the integrations run on your accounts, your API keys and your infrastructure, and the documentation transfers with them, so nothing is hosted in a way that depends on us remaining involved.

What happens when an integration breaks?

Every integration ships with monitoring, retry behaviour, alerting and a documented manual fallback, so you learn about a failure from the system rather than from a customer. Who responds, and how quickly, depends on whether a support plan with an agreed service level is in place.

Can you work with Odoo?

Yes. Odoo integration is common in the region — it acts as the anchor system and connects to messaging, e-commerce, logistics and reporting workflows. The same approach applies to other CRM and ERP platforms.

Next step

Map the workflow that crosses too many systems

Bring the process where information gets re-typed, lost or delayed between tools. We will map the hand-offs and show you what a connected version looks like.

No obligation. If automation is not the right next step for you, we will say so on the call.
